1. About Longfield Polyclinic

Longfield Polyclinic is a private healthcare clinic operated as part of Harley Healthcare Group PLC. We provide private medical services including physiotherapy, private GP consultations, specialist services, diagnostics, and complementary therapies. Our services are provided by qualified, registered healthcare professionals.

2. Appointments and Bookings

2.1 Booking Appointments

Appointments can be booked by phone, email, or through our online booking system. All appointments are subject to practitioner availability. We will confirm your appointment via your preferred contact method.

2.2 Cancellations and Changes

  • Please provide at least 24 hours notice if you need to cancel or reschedule
  • Late cancellations (less than 24 hours notice) may be subject to a cancellation fee
  • Failed appointments (no-shows) may be charged at the full appointment rate
  • We reserve the right to charge for missed appointments

2.3 Lateness

If you arrive late for your appointment, we will do our best to accommodate you, but your appointment time may be shortened to avoid delays for other patients. In some cases, late arrivals may need to be rescheduled.

3. Fees and Payment

3.1 Payment Terms

  • Payment is due at the time of service unless alternative arrangements have been made
  • We accept cash, card payments, and bank transfers
  • All fees are quoted in British Pounds (GBP)
  • Prices are subject to change with reasonable notice

3.2 Insurance

While we can provide receipts and reports for private medical insurance claims, patients are responsible for checking their insurance coverage and obtaining pre-authorization if required. Payment is required from you regardless of insurance status, and you may seek reimbursement from your insurer.

4. Medical Care and Treatment

4.1 Professional Standards

All our practitioners are qualified, registered professionals who adhere to the standards and codes of conduct of their respective professional bodies. Treatment is provided in accordance with current evidence-based guidelines and professional standards.

4.2 Patient Responsibilities

  • Provide accurate and complete health information
  • Inform us of any changes to your medical conditions or medications
  • Follow treatment recommendations and attend scheduled appointments
  • Report any concerns or adverse reactions promptly
  • Treat staff and other patients with respect

4.3 Consent

You will be asked to provide informed consent before treatment. This means we will explain the proposed treatment, potential risks, benefits, and alternatives. You have the right to decline or withdraw consent at any time.

5. Confidentiality and Data Protection

6. Medical Records

We maintain accurate medical records of your consultations and treatments. You have the right to access your records, request corrections, and obtain copies. Fees may apply for provision of medical records or reports.

7. Complaints and Concerns

We aim to provide excellent care and service. If you have any concerns or complaints:

  • Please raise concerns with the practitioner or reception staff as soon as possible
  • Formal complaints should be submitted in writing to our clinic manager
  • We will investigate all complaints thoroughly and respond within a reasonable timeframe
  • You may also contact the relevant professional regulatory body

8. Limitation of Liability

While we strive to provide the highest quality care, we cannot guarantee specific treatment outcomes. Our liability is limited to the extent permitted by law. We maintain appropriate professional indemnity insurance.

9. Emergency Care

Longfield Polyclinic is not an emergency medical facility. In case of medical emergency, please call 999 or attend your nearest Accident & Emergency department immediately.

10. Changes to Terms

We reserve the right to update these terms and conditions. Changes will be posted on our website and will apply to appointments booked after the effective date of the changes.

11. Governing Law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
